This Privacy Policy sets out how we treat your personal information. ETS Wales provides visitors with anonymous access. You can access all content within our website without any need to log in.

Automatic collection of information

As with all websites, automatic, anonymous records of which pages are viewed are maintained. The logging system will also collect various other non-personal data (such as operating system, browser or other access technology used, and screen resolution from each visitor's computer). The visitor's IP address will also be logged, but will not be used to personally identify any visitor. This information will be aggregated together into anonymous statistical data only. The system will not collect any other data - and the data collated will remain the property of ETS Wales and will be used solely for the purpose of maintaining and improving the website.

Disclosure and visitor choice

ETS Wales does not store any of the personal information captured about individuals who access the ETS Wales website - except where you have voluntarily chosen to give us your personal details via email, forms, or when enquiring about or applying for any of our services. In these cases, the personal data you give ETS Wales will be used exclusively for providing you with the information or service which you have requested.

Data protection notice

ETS Wales handles personal data in accordance with the Data Protection Act and General Data Protection Regulation. Sometimes we may contact you by mail, telephone, fax, e-mail or other electronic messaging service about goods and services that we believe may be of interest to you. By providing us with your contact details you are consenting to being contacted by these methods of marketing. When providing personal information on our website you will be given the opportunity to restrict the use made of your information.

Privacy statement for Mapping the Youth Work Workforce in Wales 

In accordance with data protection legislation, this notice sets out what ETS Cymru Wales, as host for the youth work mapping questionnaire, will do with the information it receives which is being collated on behalf of the Welsh Government. 

Background 

At present, there is a gap in information available nationally about those who undertake youth work in Wales in the maintained, voluntary and independent youth work sectors and this research is aimed at closing that gap. Through this work, Welsh Government hope to be able to more accurately understand who is delivering youth work and what type of service they provide. 

What data is being collected? 

Personal data is defined under the General Data Protection Regulation (GDPR) as ‘any information relating to an identifiable person who can be directly or indirectly identified by reference to an identifier’. 

As part of this research, no personal data will be collected other than a contact name, telephone number and email address for the individual completing the questionnaire, which is to assist with any subsequent enquiries. 

The invitation to complete the questionnaire is being sent to a list of organisations with contact email addresses that are already in the public domain.

How will the information collected be used? 

For this research, the information received will be collated into a summary report for use by Welsh Government and associated stakeholders but personal data will not be included in any publication. 

How we store your information

The information will be collected via the ETS Wales website.  Data collection is facilitated through appropriate server-side dynamic scripting and communicated to the server via the secure encrypted HTTPS protocol. This protocol uses TLS / SSL to encrypt normal HTTP requests and responses, so preventing a malicious third party from eavesdropping on or intercepting the connection. The site is hosted on a secure cloud server in a centrally located datacentre in London, owned by a global leader in cloud services. They conducted an extensive analysis of their operations to ensure compliance with the requirements of the GDPR before it went into effect. With the help of external advisors, they reviewed their products and services, customer terms, privacy notices and arrangements for compliance with the GDPR. Their focus on privacy and compliance efforts are ongoing. Any proprietary data that is added to the form on this site will remain within the UK / European Union region at all times.

As well as 'in transit' encryption, our service utilises 'at rest' encryption, whereby the data submitted in this form is stored in a secure encrypted format on the database server. 

How long will the information collected be kept? 

The information will be kept securely for a maximum of three years and will then be deleted.
